How I collect, use and protect personal information when you visit this website or make an enquiry.
Who I am
I’m Natasha Lobanova, the counsellor behind Natasha’s Counselling Room. I am responsible for the personal information described in this notice. If you have a question about how I use your information, email me at [email protected].
What information I collect
When you make an enquiry, you may give me your name, email address, telephone number, preferred way to be contacted and a short message. This notice covers website use and initial enquiries. If we decide to work together, I will give you separate information about how I handle the details and any records needed for counselling before collecting them.
Please keep an initial message brief and do not include detailed clinical information or anything urgent. Email is not suitable for emergency support.
Why I use your information
I use enquiry information to respond, arrange an introductory conversation and take steps at your request before a possible counselling agreement. I use technical information needed to run and protect the website and contact form.
For enquiries, my lawful basis is taking steps at your request before entering into an agreement. For essential website operation and security, I rely on my legitimate interest in keeping the website available and protecting it from misuse. Information about health and wellbeing needs additional protection under data-protection law. I ask you not to send detailed clinical information with an initial enquiry. Before collecting information for counselling, I will explain the applicable legal basis and special-category condition separately.
Enquiry correspondence
I keep enquiry correspondence in my email account while I respond and any follow-up is outstanding. When an enquiry does not lead to counselling, I delete it once there is no further response or follow-up to make, unless I need to retain it to meet a legal obligation or deal with a complaint. I do not keep a separate website database of form messages.
Website, email and service providers
When you submit the contact form, Cloudflare processes the details you provide and sends them to my Gmail address. Google then handles the email. The form records the send outcome without putting your message in application logs.
I use Cloudflare Turnstile to protect the form from automated submissions. It processes technical information about your browser and request for that purpose, but does not read what you type into the form.
Cloudflare hosts this website and may process access and security information, such as your IP address, browser details and the time of your request. When you dismiss the cookie notice, your browser stores a simple preference so it does not reappear.
Google Tag Manager loads on every page, so Google receives technical request information such as your IP address and browser details. No analytics or advertising tags were published in the container when I last updated this notice. Dismissing the cookie notice does not turn on optional tracking. Read my cookie and storage notice for more.
If we meet online, Zoom may process the technical information needed to provide the call. I use service providers only where needed to run the website, respond to enquiries or provide counselling.
Cloudflare and Google services may process technical or enquiry information outside the UK. Cloudflare describes its UK transfer safeguards in its data-processing terms, and Google describes its international transfer arrangements in its privacy information. You can contact me for more detail about the arrangements that apply to your information.
Sharing and security
I do not sell your personal information. I share it only with services needed to run this website and handle enquiries, or where a legal or safeguarding responsibility requires disclosure. I limit any disclosure to what is necessary and take reasonable steps to prevent unauthorised access, loss or misuse. I do not use information collected through this website for marketing, profiling or solely automated decisions.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access and receive a copy of your information, correct inaccurate information, ask for deletion or restricted use, object to certain uses, and receive some information in a portable format. These rights can have legal limits. Email me if you would like to ask a question or exercise a right. I may need to confirm your identity before responding.
Questions and complaints
If you are concerned about how I use your information, contact me at [email protected]. I would welcome the opportunity to understand and address your concern.
You can also complain to the Information Commissioner’s Office at any point. Visit the ICO complaints service or call 0303 123 1113.
